Authenticity is proven by a consistent chain, not one document

An authenticity concern can arise from a buyer report, a brand complaint, a catalogue mismatch, inconsistent packaging, a supplier change or a request for evidence. The seller needs to show a coherent chain from commercial source to the exact item being offered. A genuine-looking product photo, a generic purchase invoice or an old test record rarely answers the whole question on its own.

Think in terms of matching records: supplier, manufacturer where relevant, product identifier, model or variation, quantity, purchase date, receiving record, packaging version, storage history and the final ASIN/SKU. The more those facts align, the easier it is to investigate and respond truthfully.

Protect product identity at receiving

  1. Inspect the first units. Compare brand mark, model, labels, packaging, inserts, product identifiers and physical condition with the approved product record before inventory is mixed or sent onward.
  2. Record source and quantity. Preserve invoices, purchase orders, payment and receiving documents, and tie them to lot, shipment or SKU records where possible.
  3. Separate stock by source and version. Do not commingle units from uncertain, returns, liquidation or different packaging sources with verified inventory under the same internal record.
  4. Control catalogue alignment. Ensure the product sold is the same brand, model, count, variation and condition represented on the detail page.

If authenticity is questioned

Preserve the exact notice, buyer or brand report, listing, ASIN/SKU, images, inventory photographs, invoices, supplier communications and receiving history. Isolate the affected stock where the facts justify it. Identify whether the issue is a physical-product mismatch, a catalogue mismatch, a traceability gap, a sourcing dispute or a suspected counterfeit allegation.

Do not make a blanket statement that all inventory is authentic unless the records support that conclusion for the affected units. Do not edit invoices, submit documents for a similar item, or use a supplier statement that does not identify the product and transaction. A weak response can damage credibility beyond the original report.

Respond with a focused evidence pack

Use a short index so a reviewer can see what each file proves. Match product identifiers and quantities. Explain any legitimate packaging or version difference directly and with supporting records. If the source chain cannot be demonstrated, stop treating the issue as a writing problem; investigate the supply route before making further offers.

Prevention is a receiving discipline

Create an authenticity intake checklist for every new branded source: supplier due diligence, sample inspection, product/packaging photos, document matching, lot or shipment record, storage location, approved listing and owner. Recheck the process after returns, repackaging, cross-border transfers or any supplier change.
